Duplicate worknew
Delivery data is entered twice
The warehouse enters the delivery note into LagerApp, and accounting copies it again into the invoice list.
wissa.ai interviews the people who really know your processes in a chat, about 15 to 20 minutes per conversation. The result is structured process documentation with steps, roles, systems and handovers that updates itself with every further conversation.
The free trial package with 10 credits is usually enough for one interview including the analysis. It is valid for one month, once per company, with company details and DPA, while the allocation lasts.

Still open
Most companies want to document their processes. The real work is the capture: the knowledge from twenty heads has to come together and be written down.
The standard operating procedure from 2021 is well structured and describes how things stood before the last system change. Day-to-day work has moved on since then.
Classic process mapping with a workshop, follow-up and alignment needs a solid block of time from everyone involved. By the time the report is ready, something has often changed again.
A BPMN modeller makes diagrams precise, a Word template makes them consistent. Someone still has to collect the knowledge, and that is the most laborious part.
The AI does the capturing, and you decide on contradictions and correct statements. Reading and correcting is faster than writing, and that is exactly where the work shifts to.
It covers the department, main processes and systems, and the question of who knows the details.
Interview · Goods receipt
The AI suggests inviting the colleagues who were named; you approve, or let invitations go out automatically. The questions build on what has already been said, and those invited need no account and can pause at any time.
Needs you · 3
The AI asks about special cases, workarounds and cover arrangements. If management says “it runs through the ERP” and the team says “it runs through Excel”, it flags exactly that.
Contradiction
Mr Vogel and Ms Krüger describe the approval path differently. Choose what applies.
Process steps, roles, systems, handovers and pain points, every statement with its source. The analysis then shows where automation can start first.
Duplicate worknew

Try it: every view is rebuilt from the app. Content from the demo workspace “Muster GmbH”, all names fictional.
Everything comes out of the same interviews, and the structure follows from what your team tells.
Checking incoming invoices · Steps Only one source so far. wissa asks Martina Krüger in the next interview.
Trigger, steps, roles, systems, handovers and exceptions for every process, each statement traceable to its source.
The step-by-step description from the interviews is the content basis for work instructions and standard operating procedures, including the special cases that are usually missing when people write them down.
Every area with its processes, owners and handovers as an outline, plus how completely each area has been captured. Built from the conversations and extended with every new one.
An onboarding plan for every role: processes in learning order, systems, contact persons. The answers to the questions of the first weeks are in the documentation.
Diverging statements appear side by side with their sources, processes with only one knowledge holder are flagged.
Media breaks, duplicate work, manual re-entry: the analysis names them concretely and shows where automation can start first.
Process documentation tools can be sorted by which part of the work they take off your hands: storing, drawing, recording on screen or capturing.
| Criterion | Wiki | BPMN modeller | Screen recording tool | wissa.ai |
|---|---|---|---|---|
| Takes off your hands | Storage, search, permissions, versions | Drawing processes to a standard notation | Creating click-by-click guides | The capture: conducting and analysing interviews |
| Who captures the knowledge? | The authors themselves | The person modelling, usually in a workshop | The recording of on-screen work | The AI, in conversation with everyone involved |
| Captures work away from the screen | If someone writes it down | If it comes up in the workshop | Hardly, the focus is on work at the screen | Yes, as far as respondents describe it: including verbal agreements, paper and word of mouth |
| Limitation | Relies on someone writing | The notation takes practice to read | Shows how to operate software | No diagram editor, no workflow engine |
| A fit when … | writing is part of the job anyway | processes are to be formally modelled or automated | a software workflow needs explaining | the knowledge is in people's heads and nobody has time to write |
The categories can be combined: a BPMN model can be drawn from the documentation wissa.ai produces, and a screen recording tool remains the right choice for individual click paths.
Billing runs on interview credits: about 10 credits equal one completed interview including the analysis on average, billed by actual AI usage. Respondents need no account of their own, Starter and Business can be cancelled monthly, and Enterprise offers more capacity on request.

Guides and templates on process documentation, work instructions and onboarding, useful with or without software.

Knowledge management software →A process documentation tool, often called process description software, helps record how work gets done: which steps in which order, who is responsible, which systems are used and where work is handed over. Most tools help with presenting and storing. wissa.ai also takes over the capture: an AI interviews the people involved and writes the documentation from their answers.
Not in the classic sense. Process management software often controls processes with a workflow engine, approval flows and KPIs. wissa.ai provides the foundation such projects build on: a reliable description of how processes actually run today, including roles, systems and exceptions.
The interviews provide the content: steps, responsibilities, tools and the special cases that usually go missing when people write things down. From that you write work instructions and procedures; the formal approval with name and date stays with you. A Word template for work instructions is available in our guides.
Not to get started. The potential analysis for every process names media breaks, duplicate work and manual transfers, which is what process analysis software otherwise does. For work instructions the interviews deliver steps, responsibilities and special cases; you write and approve them in your usual tool, for example with the Word template from our guides. If you want to measure cycle times from system data, add process mining.
For the content side, yes: the interviews produce an onboarding plan per role with processes in learning order, systems and contact persons. Organisational matters such as workstation, accounts or contract documents are still handled by the onboarding checklist.
An interview is designed for about 15 to 20 minutes, and the first process can be documented the same day. How long it takes to cover the core processes of the whole company depends mostly on how quickly the invited people respond. Start with four or five people from different areas, and from there the snowball principle finds the remaining knowledge holders.
Process mining reconstructs processes from system data and measures real cycle times. wissa.ai captures the knowledge in people's heads: verbal agreements, exceptions, paper and word of mouth. Process mining answers “how long”, interviews answer “why” and “who else”, and together they give a fuller picture.
Starter costs €79 per month with 100 credits (about 10 interviews), Business €149 per month with 250 credits (about 25 interviews), both cancellable monthly.
